Architectural Review Committee Process

One of the benefits of a community association is the ability to create and maintain a pleasing and cohesive physical appearance within the neighborhood. And, to accomplish that goal, the Basset Creek Architectural Review Committee is charged with reviewing any permanent exterior alteration or improvements. Please keep in mind that Architectural Review Committee Approval is required for any alteration or improvement to the exterior of your property.

Before you begin plans for any alteration or improvement, you should first consult your Community Standards. That document will give you a more detailed understanding of the architectural review process. For your benefit the Association has created an application for exterior alterations/improvements.

As a new resident, you may be thinking of making some alterations and/or improvement on the exterior of your house, or to your yard. If you are planning on doing so, right now would be the appropriate time to submit the required application, as defined be the covenants, to the Architectural Review Committee (ARC) for consideration.

Examples of improvements that need approval are:

  • Fences
  • Swimming Pools
  • Landscaping
  • Patios
  • Gutters
  • Exterior Painting

Before anyone else performs any of the following work on any Lot, the plans and specifications for the work must be reviewed and approved in writing by the Committee:

  • Clearing of one or more trees from the lot.
  • Grading the lot.
  • Constructing, erecting or installing any structure on the lot, including (without limitation) the following structures: any house, garage, shed or other building; any porch, deck or balcony; any fence, wall or gate; any mailbox, newspaper box, or light post; any retaining wall; terrace or other landscaping structure (including landscape curbing); any patio, driveway or parking area; any sport court; and any swimming pool (whether above ground or below ground).
  • Changing the exterior color, style or materials of any structure on the Lot

The owner is responsible for obtaining any required building permits. The owner, not the Association, Board of Directors, or Review Committee, is responsible for (i) the construction standards and specifications relating to the alteration/improvements and construction work; and (ii) determining whether the alteration/improvements violate any restriction or requirements imposed by any governmental authority having jurisdiction over the Unit.

The owner shall hold harmless, indemnify and defend the Association and its officers, directors, and agents from and against any expenses, claims, damages, losses or other liabilities, including without limitation attorneys' fees and cost of litigation incurred by the Association, arising out of (i) any part of the alterations/improvements which violates any governmental law, code, ordinance, or regulations; (ii) the adequacy of the plans or specifications submitted by the owner in connection with this application; and (iii) the construction of the alterations/improvements

Obtaining approval from the Architectural Review Committee shall require the following:

The Basset Creek ARC requests that all required documentation be submitted at the time of the modification request.

ONLINE SUBMISSION (Preferred):

  1. Log into your homeowner online portal
  2. Click the drop-down menu for "Account info" and select "ACC Requests"
  3. Click the button "Add ACC Request"
  4. Choose type of request from drop-down menu
  5. Type in complete details of your request
  6. Attach all supporting documents for your request. All ACC requests must be accompanied by the following documents if it relates to your request, exterior paint changes require four (4) paint chip samples of the color you wish to use (painting does not require the Plot plan or elevation documents):
  • Plot plan (official survey of lot) –Please show the improvement (i.e. deck, fence, landscaping, parking pad, garden, addition, etc.) and its relationship/distance to property lines, easements, open space, drainage ditches, neighboring homes, etc.
  • Elevation – or “head on” view, as would be seen in a photograph. The elevation drawing should show height, width, distance above finished grade and details of the proposed request. Be specific in order to expedite the architectural review process.
  • Photographs or brochure pictures should be submitted along with this request when available. (i.e. picture of play set, storm door, style of fence or shed)

7. It is recommended that homeowners check with the County Building Inspections Department to obtain necessary permits and building code information.

8. Click "Submit"

MANUAL SUBMISSION (paper app mailed or emailed):

1. Please PRINT legibly.

2. Give the complete homeowner name and address of the home for which the modifications are being requested. Please make note if the owner’s mailing address is different from the home address where the modifications are being requested.

3. Complete the entire application, sign and date the form.

4. This architectural request must be accompanied by the following documents if it relates to your request, exterior paint changes require four (4) paint chip samples of the color you wish to use (painting does not require the Plot plan or elevation documents):
